Job Title: Accounts Payable Specialist
Type of Role: Temp to Hire
Shift / Hours:  Monday through Friday 8:00 a.m. to 5:00 p.m.
Location: Salinas, CA
Hourly Range: $20.00 – $22.00 Hourly

About the Accounts Payable Specialist Role
The Accounts Payable Specialist assists in the operational accounting functions by processing the accounts payable to vendors and internal staff. Support the company in optimizing its financial transactions and systems, strengthen and grow relationships with vendors and suppliers through timely payments, assist in streamlining and improving the accounts payable process. Exercise integrity and confidentiality in financial reporting and comply with national and local financial regulations.

Essential Job Duties

  • Execute monthly credit card and payment reconciliation.
  • Review and process vendor invoices for accuracy, completeness, and proper approval, ensuring correct coding and timely entry into the accounting system for weekly payments.
  • Prepare and issue payments to vendors via check, or other electronic methods, ensuring timely payment and maintaining strong vendor relationships.
  • Reconcile accounts payable records with the general ledger and resolve discrepancies promptly.
  • Respond to vendor inquiries regarding payment status and account issues, maintaining positive relationships.
  • Maintain accurate, organized accounts payable records, ensuring compliance with company policies and regulations.
  • Manage and update the vendor master file to ensure accurate and current vendor information.
  • Assist with month-end closing to ensure all accounts payable transactions are recorded and reconciled within the correct period.
  • Identify opportunities for process improvements in accounts payable to increase efficiency.
  • Set up new vendors and execute online payments.
  • Maintain the Concur platform and provide training for new employees on expense reporting processes.
  • Prepare Positive Pay template for bank upload.
  • Process annual 1099 filing, ensuring compliance with IRS requirements.
  • Assist CFO and AR backup with invoicing as needed.
  • Perform other related duties as required by management.

Qualifications and Education

  • Associate’s degree or equivalent or a demonstrated ability to perform essential job functions.
  • Understanding of basic principles of finance, accounting, and bookkeeping
  • One to two years’ experience in processing full cycle accounts payable
  • Experience with accounting software, ERPs, and online platforms
  • Excellent communication skills through oral presentations and written reports in English; Spanish is a plus.
  • Proficiency with Microsoft Office 365 suite with special emphasis on Excel including Outlook, Word, PowerPoint, and Teams.
  • Knowledge of GAAP and basic accounting principles preferred not required.
  • Strong attention to detail with a dedication to accuracy.
  • Ability to analyze large sets of data.
  • Proven ability to solve challenging problems and work with minimal direction while adapting to changing priorities.
  • Strong organizational skills and able to work effectively under pressure and accurately complete tasks within given timelines.
  • Ability to assume responsibility and exercise good judgment in making decisions within the scope the job function while working autonomously.
  • Ability to work in a rapid paced environment, prioritize tasks, meet multiple deadlines, and ensure that work is accomplished in a timely fashion.
  • Skilled using various accounting software and experience in troubleshooting common accounting program problems.
  • Personal integrity when working with personal and sensitive financial information.
  • Superb time management skills and detail orientation
  • Ability to maintain confidentiality of company and partner information.
  • Strong mathematical skills
