Job Title: Office Assistant II
Type of Role: Contract
Expected Length of Contract: 700 hours
Shift / Hours: 8:00am-5:00pm
Location: Salinas, CA (In person)
Hourly Range: $17.00
We are seeking a reliable, detail-oriented, and highly organized Office Assistant II to support our fast-paced legal environment. The ideal candidate is flexible, can multitask effectively, and is comfortable managing a high volume of phone calls and in-person office traffic. This position plays a crucial role in ensuring the smooth daily operation of the office and supports the department.
Role and Responsibilities

Serve as the first point of contact for visitors and clients—greet guests, answer questions, and direct individuals appropriately.

Handle a high volume of incoming phone calls; route calls to the appropriate staff and take accurate messages.

Monitor and manage lobby activity to ensure a welcoming and professional environment.

Assist personnel with various clerical and administrative tasks including but not limited to:

Filing and organizing documents

Data entry into case management systems

Photocopying, scanning, and faxing materials

Preparing and assembling packets

Manage incoming and outgoing mail, deliveries, and legal correspondence.

Maintain inventory.

Perform general office support duties such as scheduling, calendar updates, and recordkeeping.

Collaborate with team members to support office-wide needs and special projects.
Skills and Experience:

At least 2 years of administrative or clerical experience, preferably in a legal or public service setting.

Strong communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and the ability to learn case management systems.

Ability to remain calm and professional in a high-volume, sometimes stressful environment.

Excellent multitasking and time management skills.

Dependable, adaptable, and willing to take initiative.

Bilingual skills (Spanish or other languages) are a plus but not required.
