Job Title: Staff Accountant

Type of Role: (Contract to Hire)

Shift / Hours: Monday – Friday, 8am – 5pm 

Location: Salinas, CA 

Hourly Range: $30 – $35/Hour

POSITION SUMMARY
The Staff Accountant plays a critical role in maintaining accurate accounts receivable records, ensuring the timely allocation of all incoming funds to their fundraising sources, and supporting overall data integrity within the company’s financial systems.  This position serves as the primary point of contact for AR-related matters, provides weekly updates to the CFO, and collaborates closely with other departments to ensure seamless communication regarding open balances.  The role also acts as a backup for accounts payable, participates in the New System Data Integrity Project, and assists with other cross-functional initiatives as assigned. 

EMPLOYMENT CLASSIFICATION: Non-exempt, Full-Time  


 

SUPERVISION RECEIVED AND EXERCISED

Receive supervision from the Chief Financial Officer.


 

EXAMPLES OF ESSENTIAL DUTIES – Duties may include, but are not limited to, the following:

Accounts Receivable (Primary Focus)

  • Manage all AR processes, including invoicing, collections, and reconciliation.
  • Process and record daily cash receipts accurately and promptly.
  • Ensure all incoming funds are properly allocated to their fundraising source and donor restrictions.
  • Collaborate with development and program teams to reconcile donations, grants, and other funding streams.
  • Lead weekly meetings with appropriate departments to review outstanding balances and collection strategies.
  • Provide weekly open AR reports and status updates directly to the CFO.

Cash Management & Reconciliations

  • Maintain an accurate daily log of cash receipts and deposits.
  • Support AR-related reconciliations during month-end and year-end close.
  • Investigate and resolve discrepancies to ensure financial accuracy.

Cross-Functional Support

  • Act as backup for Accounts Payable when needed, ensuring seamless operations.
  • Partner with the Senior Accountant on New System Data Integrity Project tasks, validating financial data migration and maintaining ongoing accuracy.
  • Collaborate across finance, development, and program teams to improve financial reporting processes.

Financial Reporting & Compliance

  • Prepare accurate AR schedules and documentation for audits.
  • Assist with compiling AR-related data for monthly close and management reporting.
  • Maintain proper documentation in compliance with GAAP and nonprofit accounting standards.

Other Projects as Assigned

  • Support the CFO and finance team on special projects, process improvements, and organizational initiatives.

QUALIFICATIONS (Education, Experience & Skills)

  • Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Minimum 2+ years of accounting experience, ideally within a non-profit or fundraising-driven environment.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Familiarity with Blackbaud Financial Edge or similar accounting system preferred.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS:

  • The position is based on-site.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasionally move about inside the office to access files, office equipment, or attend meetings.
  • Must be able to lift up to 20 pounds at times (e.g., files, boxes of records, office supplies).
  • Regularly required to communicate clearly, both in person and via telephone/email.
  • Ability to maintain focus in a busy office environment with frequent interruptions.
